To qualify, the exhibitor must be a member in continuous good standing from the date of contract execution through the dates of IWF 2026 . If membership lapses before the show ends, the discount amount must be repaid to IWF West. The WIA sets its own criteria and discount eligibility policy.

Credit Card Payment Fee — if you choose to pay by credit card, a 2% processing fee is added to the payment amount. Bank wire transfer and check payments do not carry this surcharge, but must be received by scheduled payment deadlines.

Third Period Payment — 25% of total space cost Invoice is sent the week of Tuesday, March 30, 2026. Payment deadline is Tuesday, April 27, 2026.

Important payment rules to know: Any past due balance beyond 45 days is subject to a 1.5% monthly late payment charge. Any booth space carrying a past due balance is subject to cancellation. Credit card and bank wire transfer payments must be received on or before the scheduled payment deadline dates — postmark dates do not apply to these payment methods. Check and money order payments must be postmarked by a government postal agency or overnight delivery service by the scheduled due dates.

Cancellation and Space Reduction Policies — Read This Carefully Before You Sign

Cancellation Policy Cancellation of your IWF 2026  exhibition space contract is accepted only at IWF West’s sole discretion and only after being submitted in writing. Once a cancellation is accepted, the exhibitor waives all claims to any refund. There are no partial refunds for cancelled booth space at IWF 2026 .

Space Reduction Policy If you need to reduce the size of your contracted booth space after January 15, 2026, the following liquidated damages apply based on the size of the space being reduced:

For reductions of 1 to 1,000 square feet: 75% liquidated damages on the amount of space reduced.

For reductions of 1,001 to 3,000 square feet: 85% liquidated damages on the amount of space reduced.

For reductions of more than 3,000 square feet: 100% liquidated damages on the amount of space reduced.

These are significant penalties. If there is any chance your booth space requirements may change after contracting, it is important to plan conservatively and contract for the space you are confident you will use.

Space Reductions and Seniority Points Space reductions also affect your seniority standing for future IWF West shows, which impacts your Priority Point ranking for future space assignments:

If you reduce your contracted space by 25% or less on or before January 15, 2026, you will still receive one full seniority point for IWF 2026 .

If you reduce by 26% to 50% on or before January 15, 2026, you receive one-half of one seniority point.

If you reduce by more than 50% on or before January 15, 2026, you receive no seniority point for 2026.

Any reduction after January 15, 2026, results in forfeiture of your seniority point for that year’s participation. If an exhibitor misses two or more consecutive IWF shows, all accumulated seniority is lost entirely.

IWF West Priority Assignment System — How Booth Space Gets Assigned

Beginning with IWF West 2029, exhibit space assignments will be made using a formal Priority Point System based on seniority and booth size. Applications received after the priority deadline are assigned on a first-come, first-served basis after all priority group exhibitors have been placed.
